Registration Guidelines for Participants

Confirmed registration is required to participate in the joint i-SAIRAS & iSpaRo Conference 2026 in Cologne, Germany.

BESL Eventagentur GmbH & Co. KG is our external partner for the participant registration and is also responsible for the invoicing and collection of participation fees. Please check the full information, fees and deadlines on this website.

We kindly ask you to provide the requested information in the required fields in the registration process. Upon the completion of the registration process, an electronic confirmation of the registration will be generated by the system and automatically sent to the e-mail address provided by the user. Please check your spam folder.

DATES

Registration will open on 24 August 2026.
Registration will close on 23 October 2026. 

After 23 October 2026 August registration is no longer possible. If there is a special case of exception, please send your e-mail request to the organizational office orga-isairas-isparo@dlr.de

Registration Fee of joint i-SAIRAS & iSpaRo Conference 2026

* please note

• that only students who have submitted an abstract for i-SAIRS or a paper for iSpaRo 
  can register for i-SAIRAS & iSpaRo Conference 2026 and they have to send the copy of the ID student to Email VMSSupport@dlr.de
• Available to undergraduate and master's students only. PhD/doctoral students are required to pay the regular participant fee.

Please note:

For all scientific events with a social programme, the German Aerospace Center is obliged to split the participation fees for the event into a VAT-exempt and a VAT-liable portion in the invoice for the conference fee, since both VAT-exempt and VAT-liable services were provided for the participation fees.

Therefore, the breakdown of the amount is for tax reasons only. 
Each participant of the joint i-SAIRAS & iSpaRo Conference 2026 can book only the complete programme of this conference.

As organizer and host of the joint i-SAIRAS & iSpaRo Conference 2026 conference we must include this information on the participation fee invoices in accordance with the German tax regulations. Every participant of this conference pays the total amount shown in the invoice (no VAT for participants).

All participants and delegates must register for the joint i-SAIRAS & iSpaRo Conference 2026 in full according to the categories and rates outlined below.

Extra ticketed events

Participants (regular und students), keynote speaker and invited speaker and also their accompanying persons have the opportunity to purchase those extra tickets during the registration process.

Registration for these optional social program activities is absolutely necessary because of the limited capacity and you must pay in advance.

That the availability of certain Social Programme activities and booking options may vary depending on the selected registration category. Some activities, including the Welcome Reception, may be included in certain registration categories, while in others they are available as optional add-ons.

During the registration process, participants will only be presented with the activities and services that are available and applicable to their selected registration category.

Some Social Programme activities have limited capacity and are allocated on a first-come, first-served basis. Early booking is therefore recommended.

Extra Ticketed events at a Glance

*We are currently exploring the possibility of offering individual elements of the dinner event as partnership packages. This may help to reduce the overall costs. Further partnership opportunities are expected to be included in the Partnership Manual, which will be published in early July. Final pricing will be announced when registration opens.

Accompanying Person:

Bringing an accompanying person depends on availability. If you would like to bring an accompanying person (adult or child) to this event,
please contact vms@dlr.de to get the required registration code.

There is no standard registration package for accompanying persons.
The Social Programme Activities listed below can be booked individually for an additional fee, subject to availability.

Payments, Booking Changes & Cancellation

Payments

The following means of payment are available for participants:

• Bank Transfer
• Payment by credit card (MasterCard and Visa Card)
• Pay Pal

Upon completion of the registration process, an electronic confirmation of the registration will be generated by the system and automatically sent to the e-mail address provided by the user.

Please, do not send any payments by bank transfer without quoting the invoice number and the participant’s name included in the payment details. Payments without the required reference information cannot be processed.

Your participation can be confirmed only when the registration fees have been paid in full.

Participants whose participation fees have not been settled by the first day of the event will not be granted the entry. Please, e-mail any amendments or cancellations regarding your participation to VMSSupport@dlr.de

Terms and Conditions for Participants

By registering you agree to the participation terms and conditions of the i-SAIRAS & iSpaRo Conference 2026. If you are registering on behalf of another individual, it is your responsibility to ensure the participating person is aware of these terms and accepts them. By completing the registration on behalf of other individuals you are warranting that you have made the participants aware of these terms and that they have accepted these terms.

Terms & Conditions

Booking Changes

Booking changes for social programme activities are subject to availability.

If you wish to add a social programme activity that you have not previously booked, please contact the Conference Office by email VMSSupport@dlr.de.

Please note that booking changes can only be accommodated until 3 August.

Cancellation

Cancellation requests should be submitted in writing by e-mail to VMSSupport@dlr.de.

Please, refer to the following important cancellation deadlines for the onsite participation:

• Until 30 September 2026: 90% refund minus 50 Euro of the administration fee;
• Until 10 October 2026: 50% refund minus 50 Euro of the administration fee;
• After 10 October 2026 there will be no refund.

Please, note that refunds will be made after the joint i-SAIRAS & iSpaRo Conference 2026.

Registered participants of this conference will have access to the programme booklet shortly before the conference.

Registered participants need a password for this password-protected area of the i-SAIRAS & iSpaRo CONFERENCE 2026 website.
This password will be sent by e-mail shortly before the event exclusively to all registered participants of the joint i-SAIRAS & iSpaRo CONFERENCE 2026.

After the Conference registered Participants of this conference will have access to the event photos.

The handling of personal data is subject to the General Data Protection Regulation (GDPR) and the associated legal provisions. Speakers have the opportunity to give their consent in writing on site; corresponding forms will be available at the registration desk.

Beyond this, the German Aerospace Center (DLR e.V.) will not provide any further information documents, event photos or lecture presentations (PP/PDF) after the event for publication on other public portals and information channels of the German Aerospace Center (DLR e.V.) or other external websites and tools.
